Qualified Rental and Buyer Leads for Bali Agencies: What a Lead Brief Holds and How Matching Works
What makes a Bali property lead qualified — budget, area, bedrooms, move-in and a listing you can quote — and how Baliestate’s partner dashboard profiles requests from groups and its own assistant and matches them to an agency’s listings.

What counts as a qualified lead in Bali?
Most Bali property demand arrives as a message, and most messages are incomplete. A request becomes worth an agent’s time when it carries the facts that decide which listings fit — and when the agency has at least one of them. That gives a working definition with five fields and one test.
| Field | Why it matters | Example |
|---|---|---|
| Budget | Separates a match from a viewing that ends in “too expensive” | IDR 25–30 million a month |
| Area | Buyers and renters rarely move across Bali for a listing | Berawa or Pererenan |
| Bedrooms | The first filter every client applies | 2 bedrooms, private pool |
| Move-in or purchase timing | Tells you who to answer first | Within two weeks |
| Length of stay (rentals) | Decides monthly or yearly pricing | 6–12 months |
| The test: a quotable listing | Without one the reply is a promise | 3 listings in your portfolio |
Where do the requests come from?
The same person often posts the same request in several groups, sometimes over several days. The dashboard treats a run of posts with the same criteria as one search with a wider reach, not as five leads, and starts a new one only when the criteria change or the person comes back after a gap.
| Source | What arrives | Who receives it |
|---|---|---|
| Facebook, Telegram and WhatsApp groups | Posts stating what someone wants | Agencies on the dashboard, as a brief; the group itself is not named |
| Baliestate’s assistant (web, WhatsApp, Telegram) | A conversation the assistant has already qualified | Agencies covering the area |
| An enquiry or viewing request on the agency’s own listing | One client about one home | That agency alone, contact unlocked, 24 hours to respond |
| A WhatsApp enquiry that stopped before a booking | The client and the home they asked about | The listing’s agency, after about an hour |
What is in a lead brief?
A brief is the request in a fixed shape: what they are looking for, budget, area, timeline, the source channel, how many of the agency’s listings may match and a short note on anything specific (a dog, a quiet street). Contact details are kept out of the brief and sit behind an unlock.
On the Free plan an agency sees the briefs; on Gold ($500 a month) it can unlock contacts without a monthly cap and work the lead in the Inbox, Pipeline and Calendar. The daily lead email carries briefs only — area, intent, bedrooms, budget and source — never contact details. It is switched per person, and on by default for agency owners.
How is a lead matched to an agency’s listings?
Two matchers run, on purpose. The count on each lead card (“N may match”) is lenient: it counts a listing unless both sides are known and conflict, allows up to 50% over budget and requires at least the asked-for bedrooms, because it is better to over-count than to hide a real match. The shortlist an agent pastes into a reply is strict, because every listing in it has to be quotable.
- 1. Active listings only.
- 2. Rentals are priced by their stated monthly rent; sales include off-plan units. A listing with no price to quote is left out.
- 3. The listing’s area or neighbourhood must match an area the client named; “Bali” on its own is ignored.
- 4. Price at most 10% over the stated budget. Dollar budgets are converted at a fixed IDR 16,000 to the dollar.
- 5. Exact bedroom count; one more only when nothing matches exactly. A listing with unknown bedrooms never matches a client who stated them.
- 6. Closest to the budget first; without a budget, newest first.
What should an agency do in the first hour?
This is practice advice, not measured data: Baliestate publishes no response-time benchmark, because it has none it can verify.
- Answer enquiries on your own listings first: they name a home, and the dashboard counts down their 24-hour window.
- Reply with two or three matching listings, each with price and term, and one question back (move-in date, or whether the pool is essential).
- Move the lead onto the pipeline as you work it: Contacted, In conversation, Viewing, Deposit, Won. Lost needs a reason, which is how you learn why leads go.
- Pass a lead you cannot serve, with a reason, rather than leave it unanswered.
What does the dashboard automate, and what not?
Automations are off until the agency switches them on. They can email a new enquirer matching listings — only when the enquirer left an email address — remind the agent about follow-ups and viewings, alert the agent to new matching leads and clear stale deals. The dashboard does not send WhatsApp messages on an agency’s behalf: it drafts the reply and gives the agent a link to send it. On Enterprise, new leads can go to HubSpot or any CRM through the REST API and webhooks. The WhatsApp CRM guide sets out why the line is drawn there.
Common questions
What is a qualified lead in Bali real estate?
A request that states budget, area, bedrooms and timing — plus length of stay for a rental — and matches at least one listing the agency can quote now.
How do Bali agencies get rental leads from Facebook and Telegram groups?
By reading requests posted in those groups and answering them with matching listings within each group’s rules. Baliestate’s partner dashboard collects those requests, profiles them into briefs and counts which of an agency’s listings fit.
Does Baliestate sell the same lead to several agencies?
A request posted publicly in a group or asked of the assistant can be shown to every partner agency covering that area. An enquiry about one agency’s own listing goes to that agency alone.
How much does Baliestate charge agencies for leads?
Briefs are visible on the Free plan. Gold, $500 a month, adds contact unlocks and the CRM tools; Enterprise is priced on a call. Free and Gold also take a commission on deals closed through Baliestate, agreed with each agency.
Does Baliestate guarantee a number of leads?
No. It passes on requests that match an agency’s listings and does not promise a number of leads, viewings or deals.
Product behaviour as built on 13 October 2026; plans and prices are those on the partners page that day and can change. No lead volumes or outcomes are given because Baliestate does not publish them.
