What must every first reply contain?

Two villas is usually better than ten. A client sent a catalogue has to do the matching themselves; a client sent two villas that fit replies to say which one.

  • The client’s name, if they gave it, and one line showing you read the request: the area, the bedrooms, the dates.
  • One or two villas that fit, each with a link, the price as the listing states it (‘IDR 35 million a month, minimum 6 months’) and one line on why it fits.
  • One question back, the one that decides the match: the move-in date, the length of stay, or whether a pool is essential.
  • Your name and agency, so the client knows who they are talking to.

Templates for the enquiries you get most

Each template is a frame for a real reply. The words in brackets change every time; if you cannot fill them, do not send it.

The enquiryA reply that works
A group post: ‘2BR in Pererenan, 25–30M, from December, 6 months’Hi [name], two in Pererenan from December: [villa 1, link], [price as listed], [why it fits]; [villa 2, link], [price], [why]. Is a pool essential, or would you consider one without for a lower rent?
‘Price?’ on one of your listingsHi [name], [villa] is [price as listed, with term]. It is [available from / let until]. When would you move in, and for how long?
A budget below what the area asksHi [name], in [area] 2-bedroom villas in that budget are rare right now. Two close options: [villa in the next area, price], or [one bedroom fewer in the same area, price]. Would either work?
A buyer asking about a villa for saleHi [name], [villa] is [price], [tenure], [years left on the lease if leasehold]. Is it to live in or to rent out, and would you buy in your own name or through a company?
No reply after two or three daysHi [name], a new one came up that fits: [villa, price, link]. Happy to arrange a viewing or a video call this week.

What should a reply never promise?

  • A discount, or a price other than the listed one, unless the owner agreed it in writing. A quoted price is a commitment.
  • Legal answers on ownership, nominees, licences or visas. Link a neutral explanation or refer the client to a notary; a wrong answer in your agency’s name is your agency’s answer.
  • Bank details or payment instructions in a first reply. Payment-redirection fraud is a known risk in property deals; send them only once a deal is agreed, from a verified channel.
  • Urgency you cannot show: ‘two other clients are viewing tomorrow’.
  • For a foreign buyer who wants to rent the villa out: that they can let it in their own name. Letting is a business, and a foreign owner lets through a PT PMA.

How fast, and how often?

A request posted in a Bali housing group gets several answers, and the client usually views with whoever first sent something that fits. There is no published Bali benchmark for how fast that has to be; set a target your team can keep, such as 15 minutes during working hours, and measure it.

Follow up once, two or three days later, with something new: a listing that came on the market or a viewing slot. After that, write only when you have a genuinely new match, and stop when the client says they have found something.

Keep to WhatsApp’s rules. A business may send free-form messages only within 24 hours of the client’s last message; outside it, only approved templates. Messaging people who did not write to you, or adding them to broadcast lists, breaches WhatsApp’s business messaging policy and risks the number.

How Baliestate drafts replies

In Baliestate’s partner Inbox, on the Gold plan, an agent can ask for a draft reply to any lead. The draft names at most two of the agency’s own listings that fit the request, links each one, quotes each price exactly as the listing states it, writes in the language the client wrote in, and proposes a concrete viewing time. It is checked so it never links a page that is not one of those listings. An agency gets 300 drafts a month.

The agent edits it and sends it. Email replies go out from the Inbox; for WhatsApp and Facebook, the Inbox opens the agent’s own app with the text ready and records that it was sent. Baliestate does not send WhatsApp messages on the agency’s behalf.

Common questions

How do you reply to a property enquiry on WhatsApp?

Use the client’s name, offer one or two listings that fit what they asked for with each price exactly as listed, and ask one question back, such as the move-in date or the length of stay.

Can a real estate agent send WhatsApp messages to people who did not contact them?

Not through a business account without the person’s opt-in: WhatsApp’s business messaging policy forbids it and can restrict the number. Indonesia’s personal data protection law (Law No. 27 of 2022) also governs how contact details are used.

Should I reply in the client’s language?

When someone on the team writes it well, yes. Otherwise reply in English and say so; a poor translation of a price or a contract term causes more trouble than English.

Does Baliestate write WhatsApp replies for agencies?

On the Gold plan its Inbox drafts a reply with two of the agency’s own matching listings and a viewing time, in the client’s language. The agent edits and sends it from their own WhatsApp.
