Which stages does a Bali villa agency need?
A stage should mark something that happened, not a feeling about the client. These five fit both rentals and sales, and each one is a fact a colleague can check.
| Stage | It means | Moves on when |
|---|---|---|
| Contacted | You replied to a request or enquiry | The client writes back |
| In conversation | The client has replied at least once | A viewing time is agreed |
| Viewing | A viewing, in person or by video, is booked or done | The lease or sale agreement is signed |
| Won | Signed | — |
| Lost | The deal ended, with a reason | It can be reopened if the client returns |
What should each deal record?
The fields that matter are the ones you would otherwise ask the client twice. Record them once, when the client states them, in the client’s own terms.
- Intent: rent or buy. Rentals and sales move at different speeds and should be read apart.
- Area, bedrooms and budget. For a rental the budget is monthly, for a sale the total. If the client did not say, leave it blank: an unknown budget is not a budget of zero, and a total that counts it as zero is wrong.
- The listing: which villa the deal is about, with its price as the listing stated it.
- Lease length for a rental, tenure and lease years for a sale.
- Value once agreed, so the board can total what is open and what was won.
- Every message in and out, with the channel, so a colleague can pick the deal up mid-conversation.
Why does Lost need a reason?
Most deals end in silence, not a refusal, and silence recorded as ‘lost’ teaches nothing. A short reason, chosen honestly, turns the pipeline into a record of why clients go elsewhere: the budget was below what villas in that area ask, the villa was let before the viewing, another agent replied first, the client stopped answering.
Clear stale deals on a rule rather than by mood. A deal still in Contacted after 30 days with no activity is effectively over; close it as lost with the reason ‘no reply in 30 days’ and reopen it if the client comes back. Any stage can move to any other, so nothing is lost by closing it.
Which numbers should an agency owner read each week?
Three, and none of them needs a dashboard to compute. They are practice, not a published benchmark: we found no source that publishes stage conversion rates for Bali agencies, and Baliestate does not.
- Deals by stage. A pile in Contacted means replies are not landing; a pile in In conversation means viewings are not being proposed.
- Lost reasons, counted. If ‘budget too low for the area’ leads the list, the agency needs cheaper stock or better-qualified leads, not faster replies.
- Won this month, with values where they are set. Count deals without a value separately, rather than adding them in as zero.
How do several agents share one pipeline?
Give each agent their own login, not a shared password, so every message and stage change is recorded against the person who made it. Keep one owner who can invite and remove people. When an agent leaves, their deals and the conversation history stay with the agency.
Agree one rule for who owns a new request: the agent on duty, the area specialist, or whoever replies first. Write it down; most arguments over leads start with a rule nobody stated.
How Baliestate’s pipeline works
On the Gold plan, Baliestate’s partner dashboard has a Pipeline board with exactly these five columns, Contacted, In conversation, Viewing, Won and Lost, split into rentals and sales. A lead the agency replies to opens a deal in Contacted; ‘Add lead’ puts the agency’s own contacts there too, without sending anything. A deal moves to In conversation once the client has replied, and to Viewing when a viewing is booked from it. Moving a deal to Lost asks for the reason.
The board totals each stage, the open pipeline and the deals won this calendar month, summing only the deals whose value is set and saying how many have one. Agencies invite their agents from Settings, as owners or agents. Gold also includes the Inbox, the Calendar and unlimited contacts.
Common questions
What are the stages of a real estate sales pipeline?
For a Bali villa agency: Contacted, In conversation, Viewing, then Won or Lost. Each marks something that happened, so anyone on the team can check it.
What CRM do Bali real estate agencies use?
Many use the WhatsApp Business app with a spreadsheet; larger teams use a general CRM or a property-specific one. Whatever the tool, the test is whether every enquiry ends in a recorded outcome with a reason.
When should a lead be marked as lost?
When the client says they found something, or after a fixed period of silence; 30 days in Contacted with no activity is a workable rule. Always record why, and reopen the deal if the client returns.

Practical guidance, not measured data: no stage conversion rates are given because Baliestate does not publish them and we found no source that does. Pipeline features and plans as in the partner app and on baliestate.co/partners on 24 October 2026; plans can change.
