Viewings for Overseas Clients in Bali: Video Calls, Time Zones and Confirmations

When is a video viewing enough?

Many enquiries come from people who have not landed yet: a family relocating in two months, a buyer comparing villas from abroad, a remote worker who wants a lease ready on arrival. A video call lets them rule villas out before they fly, and saves the agent a drive to a villa the client would have rejected in a minute.

It is weaker for the decision itself. A renter signing a yearly lease paid up front, or a buyer paying a deposit, should see the villa in person or send someone they trust. Say so plainly: an agent who pushes a deposit after one video call loses the clients who have read about Bali scams.

What should you show on a video viewing?

Send a short written summary after the call: the price and term as listed, what is included, and anything you noticed that the client should ask about.

• The approach: the road, its width, and the last few hundred metres. Access is the thing photos never show.
• Each room in one continuous take, without cuts, including the bathrooms and the kitchen.
• Water: turn on a shower and a tap. Pressure and hot water are common complaints.
• The pool and garden as they are today, and who maintains them.
• The view from the windows in each direction, and what is being built next door.
• Noise: stop talking for ten seconds outside. Traffic, a construction site or a beach club is easier to hear than to describe.
• Mobile signal and, if the client works remotely, a speed test on the villa’s own connection.

How do you fix a time across time zones?

Bali keeps Central Indonesia Time, UTC+8, all year: Indonesia does not use daylight saving. The client’s country may, so the gap between you can change by an hour twice a year. Always write the time twice, ‘Tuesday 11:00 Bali time (your time: …)’, and let the client correct it.

Propose a concrete slot rather than asking when suits them. ‘Saturday 10:00 Bali time?’ gets a yes or a counter-offer; ‘when are you free?’ gets a reply in two days. Late morning and early afternoon Bali time work for in-person viewings in daylight; for video calls, fit the client’s evening or morning.

How do you confirm a viewing without losing it?

• Confirm with the owner or the villa manager before you confirm with the client. A slot the owner cannot keep costs you the client.
• Confirm with the client in the same chat they used, the day before, with the address or a map pin and the agent’s name.
• If the client goes quiet on WhatsApp for more than a day, a free-form message may not reach them through a business account: WhatsApp allows free-form business messages only within 24 hours of the client’s last message, and templates outside it. Call or wait for them to write.
• After the viewing, mark it done, cancelled or no-show, and follow up on what the client saw.

What a calendar should do for a viewing team

One shared calendar, in Bali time, with each viewing tied to the client and the villa, is enough for most agencies. It should reach each agent’s phone, show who is going where, and keep a record of no-shows; a client who misses two viewings is a different lead from one who never got the address.
